PRIVACY POLICY

1. Basic Policy

1-1. We, Toyo-Sasaki Glass Co., Ltd., believe that it is our social responsibility to protect personal information of our customers, business partners and employees and to earn their trust. Therefore, our directors, officers and employees shall comply with the Act on the Protection of Personal Information, other acts on the protection of personal information and privacy, related cabinet orders, ministerial ordinances and guidelines and so on and properly handle personal information assets which we have.

1-2. Any of such conduct as leakage, alteration, loss, illegal use and unauthorized disclosure of personal information of our customers, business partners and employees would deprive us of the trust of our customers and business partners and also cause us damage. Our employees who have done such conduct as above may be subject to disciplinary action and legal punishment. Herewith, we request that all of our directors, officers and employees shall recognize the importance and the responsibility of the personal information management and conduct in good faith in accordance with the Privacy Policy.

2. Management and Handling of Personal Information

2-1. In order to carry out this Privacy Policy, we establish the “Rules for the Protection of Personal Information”, provide our directors, officers and employees with education, training programs, etc. in a planned manner so that they can become thoroughly knowledgeable, periodically conduct inspection and evaluation of our compliance with this Policy and continue to review, maintain and revise our measures to protect personal information in an appropriate way.

2-2. So as to prevent leakage, alteration, loss, unauthorized use and so forth of personal information of our customers, business partners and employees, we take technical security control measures and construct appropriate information management systems for countermeasures against unauthorized access, those against computer virus, etc.

2-3. We will promptly delete and discard customers’ personal information when its storage period specified in the law has expired or when utilization of such information has become unnecessary.

2-4. We will use personal information to the extent that it is necessary for achievement of our business within the scope of the purpose of use.

2-5. Our directors, officers and employees shall, without prior consent of an owner of personal information (information subject), not provide any third party with personal information which has come to their knowledge in the course of our business activities and shall not use such personal information for illicit purposes. When we receive personal information from any third party, we make sure that such information has been appropriately acquired.

2-6. We establish the “Information Security Management Committee” under the administration of the Corporate Compliance Promotion Committee, and also found the Information Management Office in the General Affairs Section of the Corporate Administration Department which constructs a system for the unified management of information.

3. Acquisition and Purpose of Use of Personal Information

We acquire personal information only in an appropriate manner. When obtaining personal information, we will, in principle, publicly announce the purpose of use in advance on our website, etc. and notify an owner of personal information (information subject) of our purpose of use.

4. Use (Utilization) of Personal Information

We will use (utilize) personal information within the scope of the purposes of use set forth in the Appendix. When personal information is required to fulfill a contract with our customer, we may need to ask our customer to provide us with its personal information. When our utilization of such personal information is based on the customer’s consent, the customer may withdraw the consent at any time. Such customer’s withdrawal of the consent would not affect the lawfulness of our utilization based on the customer’s consent before the withdrawal.

5. Sharing of Personal Information

We share our customers’ personal data such as names, company names, departments and contact details with Toyo Seikan Group companies for the purposes of introducing to our customers products and services of Toyo-Sasaki Glass and Toyo Seikan Group companies, providing our customers with various information and conducting market research and market development. As for personal data to be shared, we may receive from our customers request for disclosure, etc. as well as a complaint. As to the contents of personal data, we are entitled to disclose, correct and discontinue use of such contents and are responsible for the security management on such contents.

6. Entrusting of Personal Information

When we entrust personal information of our customer to a third party in order to outsource our business operations, we will select an appropriate third party and exercise necessary and appropriate supervision over the third party to ensure the security control of such entrusted personal information.

7. Inquiries for Disclosure, Correction, Suspension of Use and so on of Personal Information

When we receive from an owner of personal information (information subject) or its representative request for notification of the purpose of our use, a complaint, disclosure, correction due to inaccuracy of contents, discontinuance of use, deletion and discontinuance of provision to a third party, we will faithfully respond to such request without delay in accordance with applicable laws and regulations as well as our internal rules, namely, the Rules for the Personal Information Management, etc.

9. Compliance with Applicable Laws and Regulations

We comply with the “Act on the Protection of Personal Information” and other applicable laws and regulations and endeavor to protect all personal information.
